DPDP Action Sheet

Use this before your next workflow goes live. It keeps the useful parts visible and turns DPDP into checks your team can actually answer.

For DPDP Guide for Pet Care Firms, the DPDP question is how personal data enters the workflow, where it is stored, which tools touch it, what purpose was explained, and how deletion or withdrawal will work.

1. Lead Forms

Check:

  • What data are you collecting?
  • Is the purpose clear at the point of collection?
  • Is marketing consent separate from service communication?
  • Can the user withdraw consent later?

Common mistake: one checkbox that silently covers newsletters, sales calls, partner sharing and remarketing.

2. Email and WhatsApp

Check:

  • Who is on the list?
  • Where did consent come from?
  • Is the list imported from a vendor, event, webinar, scrape or old CRM?
  • Can you prove the source of consent?

Common mistake: treating every lead as permanently marketable.

3. Ads and Retargeting

Check:

  • Are pixels or ad platforms receiving identifiable user behavior?
  • Are audiences built from customer lists?
  • Are lookalike or remarketing audiences using personal data?

Common mistake: assuming "the ad platform handles it" means your company has no DPDP responsibility.

4. Website Analytics

Check:

  • Which tools run on the site?
  • Are IP address, device identifiers, session IDs or form fields being captured?
  • Is analytics used only for measurement, or also for profiling and targeting?

Common mistake: installing tools first and asking privacy questions later.

5. Vendor List

Make a quick list:

  • CRM
  • Email platform
  • WhatsApp provider
  • Analytics
  • Ad pixels
  • Form tool
  • Landing page builder
  • Webinar tool

For each vendor, answer: what data goes there, why, who can access it and how deletion works.

6. This Week's Action

Map one campaign from first click to final follow-up. Mark every place personal data is collected, enriched, shared, uploaded or used for targeting.

If your team cannot answer where the data came from and where it goes next, start with a data flow map before rewriting policy copy.

Linking Owner Identity to Animal Records

In a veterinary setting, every medical file for an animal is linked to a human Data Principal. This includes the owner’s name, phone number, and physical address. If your clinic uses microchips, that ID number connects a pet’s location directly to a person’s home. You must ensure that the human’s data is only used for the animal’s care unless they give specific permission for other uses like marketing.

Sharing Data with Third-Party Partners

Veterinary chains frequently share owner data with external diagnostic labs, pet insurance companies, and specialized pharmacies. Under DPDP, these partners are Data Processors. You need a contract that prevents these partners from using the owner’s contact information for their own marketing. For pet insurance claims, you must verify that the owner has consented to your clinic sending their financial or identification details to the insurer.

Many veterinary clinics share owner lists with pet food brands or grooming services. DPDP prohibits this unless the owner gave clear, separate consent at the time of registration. You cannot bundle medical treatment consent with marketing consent. If a customer stops using your clinic, you must delete their personal contact information once the statutory medical history retention period ends.

This Week

Review your digital or paper “New Patient” intake form. Remove any pre-ticked boxes that sign owners up for newsletters or partner promotions. Ensure the form clearly states that their phone number will only be used for appointment reminders and medical updates unless they opt-in elsewhere.

Now think about your work. Where does personal data enter your workflows? Where does it sit? Who else touches it?

Frequently asked questions

Does DPDP apply to a pet's medical history?

The law applies to the human owner's data. Since medical records include the owner's name and contact details to identify the animal, the file contains personal data.

Can we share owner details with pet insurance companies?

You may only share this data if the owner has provided specific consent for insurance processing. Your records must show when and how the owner agreed to this transfer.

What happens to owner data if a pet is no longer a patient?

Once the medical necessity for keeping the record expires, you must delete the owner’s personal identifiers. You may only keep clinical data if you completely remove the human's identity.
