DPDP Action Sheet

Use this before your next workflow goes live. It keeps the useful parts visible and turns DPDP into checks your team can actually answer.

For All-in-One DPDP Compliance for Schools, the DPDP question is how personal data enters the workflow, where it is stored, which tools touch it, what purpose was explained, and how deletion or withdrawal will work.

1. Lead Forms

Check:

  • What data are you collecting?
  • Is the purpose clear at the point of collection?
  • Is marketing consent separate from service communication?
  • Can the user withdraw consent later?

Common mistake: one checkbox that silently covers newsletters, sales calls, partner sharing and remarketing.

2. Email and WhatsApp

Check:

  • Who is on the list?
  • Where did consent come from?
  • Is the list imported from a vendor, event, webinar, scrape or old CRM?
  • Can you prove the source of consent?

Common mistake: treating every lead as permanently marketable.

3. Ads and Retargeting

Check:

  • Are pixels or ad platforms receiving identifiable user behavior?
  • Are audiences built from customer lists?
  • Are lookalike or remarketing audiences using personal data?

Common mistake: assuming "the ad platform handles it" means your company has no DPDP responsibility.

4. Website Analytics

Check:

  • Which tools run on the site?
  • Are IP address, device identifiers, session IDs or form fields being captured?
  • Is analytics used only for measurement, or also for profiling and targeting?

Common mistake: installing tools first and asking privacy questions later.

5. Vendor List

Make a quick list:

  • CRM
  • Email platform
  • WhatsApp provider
  • Analytics
  • Ad pixels
  • Form tool
  • Landing page builder
  • Webinar tool

For each vendor, answer: what data goes there, why, who can access it and how deletion works.

6. This Week's Action

Map one campaign from first click to final follow-up. Mark every place personal data is collected, enriched, shared, uploaded or used for targeting.

If your team cannot answer where the data came from and where it goes next, start with a data flow map before rewriting policy copy.

Schools process data for minors, which requires verifiable parental consent. This means a simple checkbox on a website is rarely enough. The school must prove that the person providing consent is the actual legal guardian. Every admission form, medical record, and extracurricular sign-up must link back to this verified parental authority. Processing data of children in a way that causes a negative effect on them is strictly prohibited under DPDP.

Managing Third-Party Vendor Risks

Most schools use outside vendors for uniforms, textbooks, transport, and canteen management. When a school shares a student’s name and address with a bus operator, the school remains responsible for that data. You must have contracts that prevent these vendors from using student lists for marketing or selling the data to coaching centers. If a vendor loses a student’s address list, the school is the party held accountable for the breach.

Retention of Alumni Records

DPDP requires schools to delete personal data once the purpose for collecting it is over. While schools must keep academic transcripts for long-term verification, other data should be purged. Records like old medical certificates, expired bus route maps, and behavioral incident reports from ten years ago should be deleted once the student graduates and the limitations period for legal claims ends.

This week

Review your school bus registration forms. Ensure you are not asking for more information than necessary and check that the transport vendor has signed a document promising to delete student addresses at the end of each academic year.

Frequently asked questions

How does a school get verifiable parental consent?

Schools must use a reliable method to prove the person giving consent is the parent or legal guardian. This can include digital signatures, OTPs sent to registered parent mobile numbers, or physical forms signed during in-person admission meetings.

Can schools share student marks publicly on notice boards?

Publicly displaying names with marks may violate privacy if consent was not specifically obtained for public disclosure. Schools should use private portals or individual report cards to share academic results with parents.

What are the rules for school bus GPS tracking?

Tracking student locations is high-risk data processing. Schools must ensure the transport vendor has a data processing agreement and that only authorized parents can access the live location of their specific child's bus.
